SystemShuttle - Transfer & Fleet Management

Car Rental & Management

Managing a Fleet Shouldn't Be This Hard

TransferSonic ran a busy transfer and rental operation but their booking process was fragmented - reservations in spreadsheets, driver assignments over WhatsApp, invoices sent manually. The whole thing worked, but only just. They needed a platform that could handle real volume without the chaos. We built SystemShuttle to bring everything under one roof - bookings, dispatch, fleet status, and billing - so their team could actually focus on the service, not the admin.

Results at a glance

Bookings that took minutes of back-and-forth now confirm in seconds
Drivers know where they need to be
Management has real visibility into the fleet for the first time
Booking conflicts at peak hours resolved after the first busy season

The Challenge

TransferSonic ran a busy transfer and rental operation, but reservations lived in spreadsheets, driver assignments went out over WhatsApp and invoices were sent by hand. It worked, but only just, and it would not survive growth.

Our Solution

SystemShuttle brings bookings, dispatch, fleet status and billing under one roof. It is built with Laravel, Livewire, Alpine.js and Inertia.js on MySQL/MariaDB and deployed with Docker on AWS. Role-based dashboards show dispatchers, customers and managers exactly what they need, backed by a real-time availability engine and a booking flow that is fast enough for walk-in customers and clear enough for online self-service.

Key Features Delivered

  • Real-time availability engine
  • Online booking with instant confirmation
  • Driver dispatch and assignment
  • Fleet status tracking
  • Invoice and billing system
  • Role-based dashboards and reporting
  • Export tools requested by the operations team

Design & Development

The core challenge was making a complex operation feel simple. Dispatchers needed to see available vehicles and drivers at a glance, customers needed to book and get confirmation instantly, and managers needed reporting they could actually trust. We built role-based dashboards so each user sees exactly what they need - nothing more, nothing less. The booking flow was designed to be fast enough for walk-in customers and clear enough for online self-service.

  • Role-based dashboard design
  • Real-time availability engine
  • Driver dispatch & assignment
  • Online booking flow
  • Fleet status tracking
  • Invoice & billing system

Launch & After Work

After go-live, we stayed close to the TransferSonic team through their first busy season. A few edge cases surfaced around overlapping bookings during peak hours - we patched them fast and tightened up the availability logic. We also added a quick export feature their operations manager kept asking for. It's that kind of back-and-forth that turns a good project into a platform the team actually loves using.

  • Peak traffic stress testing
  • Booking conflict resolution
  • Driver app feedback review
  • Reporting & export tools
  • Uptime monitoring setup
  • Post-launch team training

Final Result

SystemShuttle is now the operational backbone of TransferSonic's daily business. Bookings that used to take minutes of back-and-forth now confirm in seconds, drivers know where they need to be, and the management team has real visibility into the fleet for the first time. It's exactly what a platform should do - get out of the way and let the business run.
